Child and Caregiver Demographics Report Guide

The sections below contain information about navigating within and filtering the data included in the CBCAP child and caregiver demographics report. The demographics are calculated from information entered into the Add Caregiver Profile and Add Child Profile forms in DAISEY.

Note:  Instructions for accessing underlying client level data and downloading PDF versions of reports are available within the Technical Resources section of DAISEY Solutions and will not be repeated here.

Using Tabs and Filters

Child and caregiver demographics are listed separately in the Table of Contents (Figure 1); however, once the Demographics Report is open, users may navigate between child and caregiver information using the tabs along the top of the report (Figure 2). The selected filters will carry over across each tab and will not need to be re-set upon navigating between caregiver and child tabs.

Demographic data can be filtered by Start Date and End Date, Grantee, Organization, and Time of Enrollment (filters are located below the report title; Figure 3.).

To identify all children and caregivers engaged in services at any time within a specific date range, type in or use the pop-up calendars to set the Start and End Dates of interest. The report uses Child and Caregiver enrollment and discharge dates (as saved in their Profiles) to determine whether they were “active” during the selected date range.

Note:  The Active/Inactive question on client profiles has no impact on the data in this report.

For example, with a date parameter of 6/1/2017 (start date) and 10/20/2017 (end date), if a client enrolled any time before 10/20/2017 and has either no discharge date or a discharge date after 6/1/2017, the client’s data will be included in the report.

For users with switch access between grantees or organizations, use the drop down menus to select the information you wish to see included in the report.

The “Time of Enrollment” filter allows users to narrow down the report to display demographic data for clients who were either newly enrolled during the selected date range, or enrolled outside of the selected date range, or both.

Dynamically update the report: Click on a category of interest (e.g., Child Age 2-4) and the other sections of the report (on the current dashboard only) will update to reflect data for those selected clients (Figure 4a and 4b). The other bars in the filtered demographic will fade out. Click on the bar again to reset the filter.

Data Source for Caregiver and Child Demographics

“Total Caregivers” and “Total Children” are calculated from the number of caregiver and child profiles that are saved in DAISEY for a given grantee or organization, and that are active within the selected date range.  This total is displayed at the bottom of the report (Figure 5).

The demographic information reflected in the bar graphs is linked directly to individual responses saved in Add Caregiver and Add Child profile form questions. Additionally, please note that for:

  • Caregiver Primary Status: “Primary” reflects the number of primary caregiver profiles, while “Not Primary” shows the number of secondary caregiver profiles.
  • Child Race and Caregiver Race:  Children and caregivers with more than one race selected on their profile will be reflected in the “Multi-racial” category.
  • Caregiver Current Enrollment Status and Child Current Enrollment Status: Provides snapshot of the number of Caregiver or Child profiles who are currently enrolled (i.e., no discharge date entered on the profile, or the discharge date occurs after the date the report is run) and the number of Caregiver or Child profiles who have been discharged (i.e., discharge date has been entered on the profile, and the discharge date occurs before the date the report is run).

Troubleshooting Tip

To ensure the report provides the most accurate data, be sure to update Caregiver and Child profiles each program year for those clients receiving on-going services. It is also beneficial to fill in all questions on each profile, not just the mandatory fields.

For each demographic, only categories that are in the data are represented on the graphs. For example, if no child profile (in your selected date range) has “Italian” selected as the child’s primary language, then “Italian” will not appear in the bar graph under the Child Primary Language section of the report.
